Long Term Contracts

A portion of  purchasing for goods and services is handled through long term contracts. These can be either contracts which are established by Abbotsford School District as the result of a competitive process. At times, contracts established by other provincial bodies (ERAC) or consortiums (such as EDCO or BCEM) are used. When contracts are put out for bid they will go through BC BID (see bid opportunities).

Purchases above $2000

Purchases above $2000 require a minimum of three competitive quotes.

To be considered to receive a quote you will need to make sure the purchasing department is aware of your company’s capability and knows how to get a quote document to you (see vendor pre-qualification form). You will also want to be sure to register at the Government of BC website, where larger dollar value quote and proposal requests will be listed.

Purchases in excess of $75,000

Purchases in excess of $75,000 require sealed bidding.

Any goods or service purchase over $75,000 will also be listed on www.bcbid.gov.bc.ca, as per New West Partnership Trade Agreement (NWPTA) rules. Your company can register at this site and indicate what types of business opportunities you are interested in, and you will be automatically notified when bids or quotes are listed in those categories by any provincial agency. Sealed bidding is a bit more formalized process.

Purchases in excess of $200,000 (Construction)

Any construction project purchase over $200,000 will also be listed on www.bcbid.gov.bc.ca (as per NWPTA rules).

Construction Projects:

Construction, remodeling and maintenance contracts are awarded through a competitive bidding process as well. The District will list these projects on www.bcbid.gov.bc.ca. Generally these types of projects have a mandatory pre-bid site visit requirement to which if a vendor intends to bid MUST send a representative who is qualified to understand and relay the type and scope of work that is required for the project. A set of plans and specifications will be available with the bid request on the BC BID website as well as during the site visit.

  • Bid and Performance Bonds: When the sum of the base bid plus all additive bid alternates exceeds $25,000.00 a certified cheque, original bid bond, made payable to Abbotsford School District for an amount equal to at least twenty five (25%) of the total bid, shall accompany each bid as evidence of good faith and as a guarantee that if awarded the contract, the bidder will execute the contract and give a 50% Performance and a Labour and Material Payment bond.
